Cancellations and Refunds

For cancellations received by 26 October 2015 the paid amount will be refunded with a deduction of 70% as penalty charge.
No refund will be made for cancellations received after the indicated deadline; authorised refunds will be processed after the Meeting.
For cancellations a written request must be sent to the Organizing Secretariat OIC registrationjointhip@oic.it

Reduced-rate hotel reservations at Milan Marriott (Meeting Venue) are available through the congress website managed by the official Organising Secretariat OIC.
 
The indicated room/night rates and availabilities are only applicable for reservations received by 26 October 2015 at the latest.

The indicate rates are per room per night and include breakfast, taxes and service. Handling fee of € 25,00 will be applied for reservations received by fax or e-mail.

Local city tax is not included and must be calculated in addition, payable upon hotel check-out individually:

  • € 5,00 per person, per night / 4-star hotels

Reservations will be confirmed by e-mail only upon receipt of the full pre-payment. After the above mentioned deadline, accommodation cannot be guaranteed although the Organizing Secretariat OIC will make every effort to meet the participants’ requests upon availability.

In order to avoid any disappointment, early bookings are recommended and we remind that phone reservation are not accepted.

Agencies or companies in need for group reservations higher than 5 rooms follow a dedicated procedure by contacting the Organizing Secretariat OIC directly.

Please note that your hotel reservation cannot be processed without payment. You may pay by credit card or bank transfer (see details below). We strongly encourage on-line registrations (credit card payments only).

CANCELLATIONS AND REIMBURSEMENTS

Any changes or cancellations in connection with hotel accommodations must be made in writing to OIC srl fax +39 055 5035230, e-mail registrationjointhip@oic.it
For individual hotel accommodations the paid amounts will be refunded as follows:

  • Within 26 July, 2015: only € 25,00 will be withheld for administrative charge
  • Within 26 September, 2015: one night accommodation will be withheld as penalty charge
  • Within 26 October, 2015: the paid amount will be refunded with a deduction of 70% as penalty charge.
  • After 26 October, 2015: no refund will be made for cancellations or last minute changes. 
  • No-shows
    100% of the foreseen total amount will be withheld as penalty charge. After the first night of no-show OIC reserve the right to cancel the remaining nights.

The above cancellation policy applies to individual bookings only. For group reservations of more than 5 rooms a different policy will apply.
